Administrative Assistant

FORTAX Private Wealth Corp. is seeking a highly qualified individual to take on the role of Administrative Assistant (AA). Our firm specializes in tax consultation and preparation, wealth management, and insurance. We aim to bring ingenuity, professionalism, and cultural inclusiveness into our employee and client interactions. DUTIES & RESPONSIBILITIES

The Administrative Assistant is responsible for providing support to managers, employees, and clients and ensuring that all interactions are positive and productive. The AA is responsible for completing a variety of office tasks, including but not limited to:

  • Managing all forms of communication including phone and email in a professional and timely manner
  • Receiving and organizing documents, generating reports, reviewing and updating policies
  • Organizing upcoming meetings within the office setting
  • Maintaining inventory of office supplies and reordering when necessary
  • Assisting in scheduling for managers, employees, and clients
  • Managing all social medial platforms; providing engaging content for current and perspective clients utilizing various applications
  • Conducting market research and analyzing consumer rating reports, questionnaires, client satisfaction ratings, and NPS scores and testimonials
  • Anticipating the needs of others in order to ensure their seamless and positive experience
  • Managing the CEO’s day-to-day activities, emails and calendar
  • Organizing team building experiences that foster a healthy business relationship
  • Creating guides, systems, and processes to improve operational efficiency
  • Assisting with hiring and onboarding of new clients and the onboarding of new advisors

QUALIFICATIONS:

  • Associate’s Degree in a related field
  • At least one year administrative experience required
  • Experience managing tax, wealth management, or insurance firm preferred
  • Proficient computer skills with knowledge of various programs and applications within an office setting
  • Multilingualism preferred

KNOWLEDGE AND ABILITIES:

  • Knowledge and understanding of taxes and financial services
  • Demonstrated ability to take the initiative, problem-solve and provide a range of solutions
  • Detail-oriented and highly organized, with well-developed time management skills to meet deadlines and effectively handle multiple priorities
  • Ability to work independently and as a team member
  • Strong written and verbal communication skills
  • Confident public speaker with the ability to present detailed information to a group
  • Display integrity, empathy, and sincerity while contributing to the positive company culture
  • Excellent interpersonal and relationship-building skills 
  • Consistently demonstrate professional conduct and maintain the confidentiality of staff and organizational information.
  • Experience managing multiple social medial platforms and creating engaging content
  • Strong computer skills including but not limited to: Microsoft Office, Microsoft Teams, Outlook, Google Drive, Calendly, Zoom, Canva, Buffer, and Adobe.
  • Ability to make decisions for the greater good of the organization and team
